We're hiring a Sales & Marketing Coordinator to be the steady hand behind our Growth Team — the person who keeps the funnel clean, the team supported, and the details handled so thousands of women can find their way into work that changes their lives.


You'll manage our sales inboxes, send call confirmations, run weekly reports, keep our CRMs spotless, track affiliates and testimonials, support marketing initiatives, and help build out new dashboards and SOPs. You'll write prospect-facing emails and ad replies in our brand voice, edit basic videos, and create templated graphics.

KEY RESULT

As the Sales & Marketing Coordinator, your primary responsibility is to handle the admin, coordination, and CRM work that supports our sales team and marketing efforts, allowing the team to change thousands of lives each year by welcoming high-achieving women into our programs. You'll own daily reporting, prospect inbox management, call confirmations and meeting logistics, CRM hygiene across multiple platforms, testimonial and affiliate tracking, and basic marketing execution support.

KEY OBJECTIVES

  • Own the daily rhythm of sales operations — reports, inbox management, call confirmations, and lead nurture — so the sales team can focus on closing.
  • Provide hands-on marketing support across testimonials, affiliate tracking, basic design, video editing, and tech execution.
  • Maintain CRM hygiene and dashboard accuracy across tools like Ontraport, Go High Level, Google Sheets, and our SMS platform.
  • Document, build, and improve the systems that hold the Growth Department together, like SOPs, dashboards, and new offer infrastructure, under the direction of the Head of Growth.

KEY PERFORMANCE INDICATORS

  • Daily Sales Report and BTC call confirmation status delivered in Slack each morning, on time and accurate.
  • Hello Inbox and Facebook ad comments responded to within agreed-upon SLAs, in Julie Santiago's brand voice.
  • CRM data integrity maintained across all platforms — clean tags, accurate records, working automations.
  • Weekly reporting (Outstanding Open Leads, Follow-Up Scheduled, no-show follow-up) completed and delivered without prompting.

WHO YOU ARE

As the Sales & Marketing Coordinator, you are the person who makes everything run cleaner. You're tech-savvy, organized, and quietly obsessed with systems that work. You like sales and marketing, you want to learn how a real growth engine operates from the inside, and you take pride in being the one who catches things before they become problems.


During your onboarding and ramp period, your primary focus will be on learning, integration, and skill calibration within the We Are The Women ecosystem.

During the First 90 Days, responsibilities include, but are not limited to:

  • Studying the We Are The Women mission, programs, funnel, and core sales frameworks.
  • Learning Ontraport, Go High Level, Slack, Asana, and our SMS platform until you can execute and troubleshoot independently.
  • Shadowing the Head of Growth on funnel walkthroughs, dashboard reviews, and CRM walkthroughs.
  • Mastering the daily reports, Hello Inbox SOPs, and BTC call confirmation rhythm.
  • Building a brand-voice swipe file for support emails and Facebook ad comment replies, with Head of Growth approval before going independent.
  • Sitting in on BTC team meetings (Monday/Thursday) and Head of Growth 1:1 check-ins to learn the rhythm of the team.
  • Participating in 1:1 coaching sessions with the Head of Growth focused on prioritization, systems thinking, and operational rigor.

You will begin owning daily and weekly tasks during this ramp period, with close support and feedback, and will be expected to operate independently across all core responsibilities by the end of your first 90 days.


By the end of your onboarding period, you should feel confident in:

  • Running the daily and weekly sales operations rhythm without prompting.
  • Writing prospect-facing communications in Julie Santiago's brand voice.
  • Managing CRM hygiene, dashboards, and sales tracking across all platforms.
  • Holding the BTC team accountable to small operational misses and escalating patterns to the Head of Growth.

REQUIREMENTS

  • Previous demonstrated experience in a sales operations, marketing coordination, or executive admin role for a service-based business.
  • Highly tech-savvy — must be able to learn systems like Ontraport, Go High Level, Asana, Slack, Zapier, and an SMS platform quickly, and feel comfortable troubleshooting integrations and automations.
  • Strong written communication skills with the ability to write in someone else's brand voice with consistency and care.
  • Basic video editing skills (Canva, CapCut, or similar — trim, caption, brand intro).
  • Basic graphic design skills (Canva — templated assets, not custom design work).
  • Comfort with dashboards, light reporting, and Project Management tools.
  • Exceptional attention to detail — this role catches errors before they hit clients or finance.
  • Ability to hold your ground with a sales team. You will be nudging closers about admin tasks, and you need the confidence to do that without folding when pushed back on.
  • Ability to be proactive regarding your projections and goals. You need to know why something is ahead or behind so you can adjust actions accordingly.
  • Commitment to growing with a team and not having your own side hustle that you secretly want to be doing while not at work.
  • You should not be in active burnout or in recent recovery from burnout. We need you well-resourced and on the other side of where our potential clients find themselves. You have to be a representative for what's possible.
  • The most important of them all: You must have done self-awareness work on yourself. We are a personal development company, which means we require every person on our team to be doing ongoing self-reflection, therapy, coaching, or other modalities that will help you be the best version of yourself so you can share that with the women you work alongside!

COMPENSATION

  • This position is a fully remote, W-2 employee role and is benefits eligible.
  • Salary: $60,000 per year.
  • Hours: Monday – Friday, 9:00 AM – 5:00 PM CST.
